State Meet Entry Deadline: Important Info & Advice

Both coaches and meet directors need to bring computers with them to Saturday's meets in order to make sure qualifiers get entered into the state meet by the deadline.

Information for:  Coaches  |  Meet Directors

This is the last week of qualifying for the indoor state meets, and the deadline for entry is Saturday night at 8:59 PM.  With the weather conditions having wreaked havoc on polar bear meets all month, many teams will be attempting last-minute qualifying on Saturday.  In order to have any qualifying performances ready in the database for athletes to be entered on time, there are some important steps that coaches and meet directors must take this weekend.  Please make sure to read all the information that applies to you before you head out to Saturday's meets.

I will be monitoring live results from the indoor invitationals (Eastern Challenge at UNC, Virginia Tech, and Atlantic Coast at Boo Williams).  Those results will be processed on an event-by-event basis to make them available for entry as soon as possible.  There are also several polar bear meets on Saturday, and I will need results from those emailed as quickly as possible.

Information for Coaches:

  • In order to enter your athletes into the state meet, the performances from Saturday's meets have to be in the database.  That means we have to receive the results from the meet director and process those results first, and then the performances should be available within 10 minutes.

  • If you have a long drive home from the meet, you need to bring a computer or tablet with you and enter your athletes before the 8:59 PM deadline.  Find a place to stop on the way home that has free wireless (most McDonald's restaurants have good Wi-Fi).

  • As an alternative, have an assistant coach stay home and enter the athletes once the meet results have been posted and processed.

  • Make sure to encourage polar bear directors to submit results as quickly as possible on Saturday.

Information for Meet Directors:

  • The normal NCHSAA deadline for results to be submitted (24 hours after the meet) does NOT apply this weekend.  Results must be submitted as soon after the meet as possible, and results submitted on Sunday will NOT be available for entry into the state meet.

  • Make sure that you have enough time to prepare and submit results, and consider having a computer at the meet to enter results as the event are concluded.

  • Results need to be emailed to me (jgeorge@milesplit.com) no later than 6 PM on Saturday, so plan your meet schedule accordingly.
